Delegate Planner Universe is a comprehensive training and
administration system specifically designed
for Universities. The system manages training for staff,
students and people outside the organisation, collectively
referred to as delegates.

courses are made simple and straightforward with Universe

Online Bookings
Designed as a fully online system, where everything is always up
to date and readily available to the University and delegates
alike. Delegates can book online and receive automatic
confirmation emails which saves staff time.
Multiple Access
You may choose the access rights for your
staff, trainers, delegates and others.
Recording Information
Course Details
The system records course locations, place
availability, delegate attendance, dates, timings and all
resources. It enables straightforward course scheduling,
improved use of valuable resources and has the ability to restrict
courses to specific groups.
The course schedule is the hub of the system. As bookings
are made or if you make any changes Delegate Planner Universe
will immediately respond. The information for your reports,
the delegates' records and the weekly and monthly calendars will
automatically be updates to save on valuable administration
time.
Course Evaluations and 360 Degree Feedback
Course evaluation forms can be completed by delegates themselves
or the trainer/manager giving 360 degree feedback.
Trainers are able to complete their own course evaluations
online for courses they have presented. These evaluations also
provide trainers with a method in which they can recommend
changes.
Delegate Tracking
You can easily track delegate bookings and
training history
for
school
and/or faculty. In addition trainers can
see a report that shows delegates who have attended, or are
booked to attend courses.
Delegate Records
Each delegate has their own set of records which includes full
training details for the past, present and future training
courses.
Delegate Documents
Allows the upload of documents relevant to the courses
undertaken. These documents can be viewed by their
trainer.
Import and Update of Batches of Delegates
This feature enables the importing of batches of delegate
records from other systems via a CSV file format (compatible with
Microsoft Excel). Delegate records can also be updated or inserted
using this feature.
Training Needs Analysis
Enables the recording of training needs of staff and
the ability to track that those needs are being met.
Trainers' Information
The trainers can see their course administration/registration
reports, including course venues and attendance lists which reduce
the administration workload.
Getting Information
Reporting
A comprehensive reporting facility which provides full
management information.
Reports include: Training records for individuals, training for
school and/or faculty, attendance and non-attendance,
administration, management statistics and many more.
Delegate Certificates
Allowing delegates to print personal certificates
using pre-defined layouts.
Efficiency
Course Scheduling and Availability
Courses can be scheduled in a straightforward and accurate
way. They may be copied and forward planned with few key
strokes. Resources may be carried forward or amended as
appropriate. Courses can be scheduled on demand and maximum
use can be made of waiting lists.
Current courses may be viewed showing their uptake, deployed
resources and other critical information.
Displaying the layout for the content and purpose of the
courses can easily be added into the course template.
You may choose to use Plain Test or HTML formatting.
Courses may be presented to delegates so that they browse and
select those that are most appropriate.
Course attendance is maximised. When a delegate cancels from a
course another delegate who is at the top of the waiting list is
automatically offered the place.
Active Directory Login
This module validates a person's username and password against
your Active Directory instead of using their individual email
addresses and passwords
Job Scheduler
Provides the ability to run jobs at pre-determined times e.g.,
emailing delegates prior to or after a course with important
information like joining instructions, dates and times and
feedback etc.
Communicating
Emails
This enables effective communication with delegates, faculties,
schools and outside organisations using the comprehensive Contact
Management System. The system can be shared across the
faculties and schools.
Email templates include joining instructions,
booking confirmation and reminders etc. Each of these emails
can be customised to match your organisation's branding. You
can choose to use plain text or rich text emails.
Mailshot
Mailshot and emailshot staff, students and external
organisations about new courses.
Email Store
Storing all emails sent from the system, whether they have been
sent manually or automatically. Emails can then be reviewed
or re-sent as necessary.
